SECTION 1: INTRODUCTION

At CGI Information Systems and Management Consultants Private Limited (“CGI”), we value your privacy and are committed to protecting your personal data. This privacy information notice and consent form (“Notice”) informs event participants (“You” and “Your”) on how and why Your Personal Data is collected & processed as part of this event and allows you to decide the information you consent to share with CGI.

SECTION 2: DETAILS OF PERSONAL DATA

You agree to share one or all the data with CGI for the purpose stated below:

  • Full Name
  • Designation
  • Photograph(s) featuring you
  • Video(s) snippets featuring you
  • Your personal story / insights / opinion
  • Quote(s)

CGI will only use the data once you agree to share with us. 

Purpose of Processing: Your Personal Data is collected & processed as part of your participation in this event and associated activities. The CGI Marketing and Communications team may use Your Personal Data to develop marketing and/or advertising material and publish the same on CGI’s internal communication platforms as well as on CGI’s official external platforms like LinkedIn, X (formerly Twitter), YouTube, Facebook & Instagram.

SECTION 3: WHAT IS THE LEGAL BASIS THAT CGI RELIES UPON FOR PROCESSING YOUR PERSONAL DATA?

CGI relies on your consent to process personal data. Your participation is voluntary, and you can withdraw your consent anytime.

SECTION 4: HOW AND WITH WHOM ARE YOUR PERSONAL DATA SHARED?

The personal data that you consent to share with us in Section 2 above, will be processed by the APAC Marketing and Communications team members to develop marketing/advertising material to be published on CGI’s official external platforms, such as LinkedIn, Facebook, YouTube, X (formerly Twitter), YouTube, Instagram and CGI.com, and on CGI’s Internal platforms such as email, Intranet, Viva Engage/Yammer and MS Teams.

Your personal data will also be processed by CGI’s event organizing team, marketing team and CGI’s authorized event management service provider company for the purposes related to the event.

SECTION 5: IS YOUR PERSONAL DATA TRANSFERRED OR ACCCESSED INTERNATIONALLY?

Your Personal Data will be stored in CGI data centers of Asia Pacific.

SECTION 6: DATA SECURITY

CGI applies risk-appropriate technical and organizational security measures to protect Your data from unauthorized access, from unauthorized modification, from damage and loss, and from misuse. Where contracted third-party suppliers provide services to CGI that involve processing personal data, they are required by the terms of the contract to meet or exceed CGI’s own security standards.

SECTION 7: HOW LONG DOES CGI RETAIN YOUR PERSONAL DATA?

CGI is committed to keep Your Personal Data for no longer than what is strictly necessary regarding the Purpose for which Your Personal Data is collected and processed. Your data would be deleted/archived as per CGI’s Records Retention Policy and Records Retention Procedures.

SECTION 8: WHAT ARE YOUR RIGHTS IN RELATION TO YOUR PERSONAL DATA?

Subject to applicable law, You have the right to request access to, rectification, erasure, and portability of Your personal data. You may also exercise Your right to request restriction of and /or object to processing of Your personal data. CGI will take all reasonable measures to address Your request to exercise any of these rights.

When addressing such request, You should also make sure that You identify Yourselves expressly by providing copy of a valid Government issued ID card. CGI will not be able to address any requests made without due identification.

Subject to the above conditions, CGI will endeavor to address Your request in due course and no later than within a month from the receipt of Your request.
