What personal data do we collect?

When registering via our CGI website for:

  • CGI events such as online seminars, information events, trade fairs; or
  • for obtaining information on industry sectors, products or services,

we process the data required for registration, participation and execution of the request (hereinafter referred to as "Promotion"). This information generally includes:

  • master data such as name and salutation;
  • contact details, such as email address and phone number (if necessary);
  • additional personal information, such as job title, employer or the questions or comments you submit;
  • your IP address.

Providing this information is voluntary. If you intend to register for a Promotion via our website, you must fill in the information marked as mandatory on our booking screen. The input fields which are not marked as mandatory are optional and can be filled in at your own discretion. You will not be permitted to participate in our Promotion should you prefer to withhold personal data.

When we use Microsoft Teams to conduct online events, we also process various types of data.

This is a service for conducting telephone conferences, online meetings, video conferences and/or web conferences. The scope of the collected data depends on, among other things, which information you provide before or during your participation in an online event. In particular, this includes information on

the user (e.g., your display name, profile image or email address), the meeting’s metadata (e.g., date, time, meeting ID, phone numbers, location) as well as text, audio and video data that you share or release in connection with the online event.

What are the purposes and legal bases for the data processing?

We process your personal data in compliance with the provisions of the General Data Protection Regulation (GDPR) and the German Federal Data Protection Act (BDSG) and in line with our Privacy Policy.

You may only participate in our Promotion if we are allowed to process your personal data within the European Union or other countries. Should you live in a country that only allows the processing of your personal data in your home state, we kindly ask for your understanding that our offer is not available to you and you may therefore not register to participate in our Promotion(s).

We process your information for the purposes of registration, execution, evaluation and, if applicable, billing of the Promotion, or for sending emails in connection with these purposes. We also inform you of any possible changes with regard to the date and content of the event. The legal basis for this data processing is your consent in accordance with Art. 6(1) a) GDPR.

Furthermore, we use your data for sending email advertising for our events or product information, provided this is legally permissible. The legal basis is insofar Section 7(2) of the German Act against Unfair Competition (UWG) in conjunction with Art. 6(1) f) GDPR, as we have a legitimate interest in the mailing of direct marketing. If you do not wish to receive information on our events or rate our events, you can object to this use of your personal data at any time by sending a corresponding notification to info.de@cgi.com.

Immediately following your registration, you will receive an email from us in which you will be requested to confirm your registration. With this step, we ensure that you have registered personally and that no third party has registered in your name. The registration process is complete as soon as you confirm it.

When using Microsoft Teams, we use your information to conduct the online event with audio, video or chat functions and admit you as a participant in the event. In order to display videos and render audio content, we will process the data provided via microphone and, if applicable, a video camera from your end device for the duration of the online event. You can deactivate or mute the camera or microphone yourself at any time via Microsoft Teams.

How long is your data stored?

Where required, we store the personal data related to participants in our Promotions for the duration of the statutory retention obligations. After the retention obligation ends, and in all other cases, the data is generally erased. If you have provided your consent for receiving information on future Promotions, we will store your personal data for this purpose until you withdraw your consent.

Who receives your data?

We use your data for the purposes of registration and execution, in particular for the sending of emails related to the promotion.

Within our group of companies, only those persons and departments (primarily the marketing department promoting the promotion, the department organising the promotion and, if necessary, the accounting department) will receive your personal data that have a legitimate interest. Your data will not be transferred to third parties outside the group of companies unless this is necessary to comply with legal obligations (e.g. proof of hospitality for accounting purposes) or this is necessary for organisational purposes (e.g. participant administration and in the case of partner events).

We use the following processors within the European Union to register and send information about our promotions: HubSpot, Inc. 25 First Street, Cambridge, MA 02141 USA with servers located in Germany.

In addition, we use Microsoft Teams, a service of Microsoft Corporation, when conducting online events.
This service is provided by Microsoft, Inc. based in the United States of America, which may also use servers in the USA. As our processor, this service provider receives the data necessary for the organisation and implementation of the online event. As a result, some of your personal data may also be processed outside the EU. The data transfer takes place on the basis of the concluded order processing contracts according to Art. 28 DSGVO, additional guarantees according to Art. 46 DSGVO and further contractual security precautions. In individual cases, it cannot be ruled out that the transmitted data may be viewed and processed by local US authorities on the basis of official orders - possibly even without your and/or our knowledge. Should we become aware of such processing, we will inform you immediately, insofar as we are permitted to do so.

What rights can you assert as a data subject?

 

As a data subject, you have the right to obtain information about the personal data concerning you, as well as the right to have inaccurate data corrected or to have it deleted, provided that one of the reasons stated in Art. 17 of the GDPR applies, e.g. if the data is no longer required for the purposes pursued. There is also the right to restriction of processing if one of the conditions set out in Art. 18 GDPR applies and, in the cases of Art. 20 GDPR, the right to data portability.  

Moreover, you have the right to object to the processing of your personal data (Art. 21 GDPR), to the extent that we process this data based on our legitimate interest, or you can withdraw your previously granted consent at any time with effect for the future by sending an email to info.de@cgi.com or via the “unsubscribe” link in one of our newsletters (Art. 7(3) GDPR).

In the event that you consider your rights from the GDPR to have been violated, you have the right to lodge a complaint with a supervisory authority responsible for data protection against the processing of your personal data. The supervisory authority responsible for CGI is the data protection and freedom of information officer for the state of Baden-Württemberg (Landesbeauftragter für Datenschutz und Informationsfreiheit Baden-Württemberg – https://www.baden-wuerttemberg.datenschutz.de/).
